Payment, Cancellation & Rescheduling Policies

1

Payment Policies

Pain to Performance Center is a private-pay service. We do not accept insurance, Medicare, or Medicaid, and we do not submit insurance claims on a student's behalf.

Some clients may be able to use HSA/FSA funds depending on their plan rules and documentation requirements (often a Letter of Medical Necessity from a licensed provider).  Please see our HSA/FSA Reimbursement Guide for step-by-step instructions.

2

Accepted Payment Methods

Pain to Performance accepts payment through Zelle or PayPal. Cash and personal checks are not accepted.

Payment arrangements and instructions are provided during enrollment.

3

Booking Deposit (Reserves Your Appointment Time)

A $900 booking deposit plus a $50 non-refundable administration and new-student processing fee is required to reserve your assessment date and time.

The booking deposit reserves a dedicated assessment time block and reflects the scheduling, onboarding, account setup, document processing, and preparation that begin once your assessment is scheduled.

4

 Program Pricing

Current program pricing:

  • The Blueprint: $1,800

  • The Build: $3,750

The $50 administration and new-student processing fee is separate from the program price.

Payment schedules and, when applicable, available payment-plan terms are provided during enrollment. A payment plan does not change the stated program price unless otherwise expressly stated in writing.

5

Payment Deadlines (72 Hours)

All deadlines are based on your scheduled appointment start time (Eastern Time).

Required payments must be received no later than 72 hours before the scheduled appointment start time. If the required payment has not been received by the deadline, the appointment may be released. The booking deposit and administration fee remain non-refundable.

6

Cancellation & Rescheduling

All cancellation and rescheduling requests must be submitted by email. Timing is based on the timestamp of the email and your appointment start time (Eastern Time).

More Than 72 Hours Before the Appointment:

Rescheduling: One rescheduling request is permitted. The existing booking deposit will transfer to the new assessment date. The assessment must be rescheduled within 8 weeks of the original appointment date and remains subject to availability.

Cancellation: The $900 booking deposit and $50 administration fee are non-refundable. Any program payments received beyond those amounts will be refunded.

72 Hours or Less Before the Appointment:

A cancellation or request to reschedule made 72 hours or less before the scheduled appointment start time is considered a late cancellation. The booking deposit is forfeited.

A new booking deposit is required to schedule another assessment and the new appointment is subject to availability.

7

No-Shows & Late Arrivals

No-shows are treated as a late cancellation (within 72 hours): the booking deposit is forfeited and no refunds are provided.

Late arrivals: Arriving late may reduce session time and does not guarantee an extension. The full fee remains due because your time block was reserved.

8

Chargebacks, Payment Disputes & Governing Law

Initiating a chargeback or payment dispute for services delivered or time reserved constitutes a dispute of agreed policies and may result in termination of services. We will retain documentation supporting services delivered, time reserved, and policy acceptance.

These policies are governed by the laws of New York State.

9

Communication & Acknowledgment

By scheduling and submitting payment, you acknowledge that you have read and agree to these Payment, Cancellation & Rescheduling Policies. Please keep a copy for your records.

10

HSA/FSA Documentation

Pain to Performance does not bill insurance or submit insurance claims. Upon request, we can provide an itemized statement or paid receipt documenting self-pay services for possible HSA/FSA reimbursement purposes.

Your HSA/FSA administrator may require additional documentation, including a Letter of Medical Necessity from a licensed healthcare provider.

Pain to Performance does not determine whether a service qualifies for HSA/FSA reimbursement and cannot guarantee reimbursement or approval.

Please see our HSA/FSA Reimbursement Guide under Resources before submitting documentation to your plan administrator.

11

Program / Package Terms (If Applicable)

If you purchase a package or multi-session program:

  • Sessions must be used within the stated program window

  • Unused sessions may expire after the program window unless otherwise stated in writing.

  • The scope of what’s included is limited to the specific program description at the time of purchase.
