Payment, Cancellation & Rescheduling Policies 

These policies protect your reserved time block and clarify payment deadlines

Payment Policies (Private Pay / Out-of-Network)

Pain to Performance Center is a private-pay service. We do not accept insurance, Medicare, or Medicaid, and we do not bill insurance on your behalf.

 

HSA/FSA: Some clients may be able to use HSA/FSA funds depending on their plan rules and documentation requirements (often a Letter of Medical Necessity from a licensed provider). Please see our HSA/FSA Reimbursement Guide for step-by-step instructions.

Accepted Payment Methods

We accept Zelle and PayPal (credit/debit) only. We do not accept cash or personal checks.

 

PayPal fee: PayPal payments include a 5% processing fee. This fee is waived when paying via Zelle.

Booking Deposit (Reserves Your Appointment Time)

A $900 booking deposit plus a $50 non-refundable administration / new-student processing fee is required to reserve your appointment time.

 

This deposit exists because your appointment is a high-demand, reserved time block, and there is administrative work completed before we meet (onboarding, scheduling, account setup, and preparation).

 Program Pricing

Current program pricing:

 

  • The Blueprint: $1,800

  • The Build: $3,750

 

(Any PayPal processing fee applies only if PayPal is used. Zelle has no fee.)

Payment Deadlines (72 Hours)

All deadlines are based on your scheduled appointment start time (Eastern Time).

 

Your account must be current 72 hours before your appointment start time. If payment is not received by the deadline, your appointment may be released and your booking deposit may be forfeited because the reserved time block was held for you.

Cancellation & Rescheduling (Two-Window Rule)

All cancellation and rescheduling requests must be submitted by email. Timing is based on the timestamp of the email and your appointment start time (Eastern Time).

 

More than 72 hours’ notice:

 

  • You may reschedule one time and your booking deposit transfers as a credit to a new date.

    • You have 8 weeks to reschedule your assessment 

  • The booking deposit is not refundable. 

  • The administration fee remain non-refundable.

  • If you cancel, amounts paid beyond the booking deposit are refunded. 

 

72 hours or less notice (including no-shows):

 

  • Your booking deposit is forfeited.

  • Rescheduling requires a new deposit and is subject to availability.

  • No refunds.

No-Shows & Late Arrivals

No-shows are treated as a late cancellation (within 72 hours): the booking deposit is forfeited and no refunds are provided.

 

Late arrivals: Arriving late may reduce session time and does not guarantee an extension. The full fee remains due because your time block was reserved.

Chargebacks, Payment Disputes & Governing Law

Initiating a chargeback or payment dispute for services delivered or time reserved constitutes a dispute of agreed policies and may result in termination of services. We will retain documentation supporting services delivered, time reserved, and policy acceptance.

 

These policies are governed by the laws of New York State.

Communication & Acknowledgment

By scheduling and submitting payment, you acknowledge that you have read and agree to these Payment, Cancellation & Rescheduling Policies. Please keep a copy for your records.

Insurance, Superbills, and HSA/FSA

Pain to Performance Center is a private-pay service. We do not bill insurance, Medicare, or Medicaid, and we do not submit claims on a client’s behalf.

 

Superbill: Upon request, we can provide a superbill/paid invoice for your records and for possible HSA/FSA reimbursement documentation. We cannot guarantee reimbursement—eligibility and approval are determined by your plan administrator.

 

HSA/FSA: Some plans require a Letter of Medical Necessity (LMN) from a licensed healthcare provider. Please see our HSA/FSA Reimbursement Guide under Resources for step-by-step instructions.

 Program / Package Terms (If Applicable)

If you purchase a package or multi-session program:

 

  • Sessions must be used within the stated program window 

  • Unused sessions may expire after the program window unless otherwise stated in writing.

  • The scope of what’s included is limited to the specific program description at the time of purchase.
